Manual processes rebuilt as governed AI workflows on monday.com, one decision at a time, and handed off with the playbook.
Why this platform
Reference design. This page describes how we apply our patterns on monday.com. It is a design, not a record of shipped client work. Evidence is added when an engagement produces it.
monday.com is the right home for these patterns when the team already runs the process on monday.com boards. The data, the owners and the daily habit are in one place, so an AI workflow can act where the work is and a person can review it there.
It is not the right home in three cases, and we say so in the diagnostic:
- The system of record for the process lives somewhere else, and monday.com would become a second copy.
- The process needs a model, a data boundary or an audit trail that the native AI capabilities do not provide. We then integrate outside the platform or recommend a different one.
- The team does not use monday.com today. Adopting a work platform is a separate decision, and it comes first.
Capability map
Capabilities are named as monday.com names them, and described from monday.com's public documentation as checked on 30 September 2026. monday.com meters these capabilities in AI credits. We estimate monthly credit consumption in the diagnostic and track it after launch, so cost is a known number.
| Capability | What monday.com says it does | What we use it for |
|---|---|---|
| monday sidekick | A personal AI assistant with the context of the account, available on the account, a board or an item | Answers and summaries from live boards, and a callable step inside a workflow |
| AI blocks | Automation blocks that categorize, summarize, detect sentiment, translate and extract information from text and files | The per-item processing steps in intake, extraction and reporting |
| monday agents | Agents built inside monday.com that run on triggers or a schedule and act on boards and workflows | Routing, follow-up and monitoring that should run without a manual trigger |
| AI workflows | Multi-step, cross-board workflows built from triggers, conditions and actions | The orchestration that connects the steps of a pattern and its review gates |
| monday vibe | A builder that creates custom apps from a description | A review or approval surface where a board view is not enough |
| AI Notetaker | Joins meetings, then produces a transcript, a summary and action items that can be added to a board | The capture step of Meeting to Record |
Patterns applied
Each pattern is defined on its own page, with its control set. This table shows which monday.com capabilities carry it.
| ID | Pattern | Applied here as | monday.com capabilities |
|---|---|---|---|
| P-01 | Governed Intake and Routing | Request routing. Candidate screening with a human decision at every gate. Deal intake and screening for a private equity fund. | AI blocks, monday agents, AI workflows |
| P-03 | Reporting Assembly | Weekly project status reports. Monthly portfolio KPI reporting for an investment team. | monday sidekick, AI blocks, monday agents |
| P-04 | Pipeline Monitor | Daily sales pipeline review with stale-deal flags and meeting briefs. | monday agents, monday sidekick, AI Notetaker |
| P-05 | Document Extraction with Exception Review | Invoice processing with exceptions flagged for review. | AI blocks, monday agents, monday vibe |
| P-06 | Meeting to Record | Meeting decisions and action items written to items with an owner. | AI Notetaker, AI workflows |
| P-07 | Adaptive Onboarding | Client onboarding with follow-ups and escalation to the owner. | monday agents, AI workflows, AI Notetaker |
A use case that is not on this list is scoped in the diagnostic.
Method
Three phases take a team from discovery to live AI workflows. Each phase closes with a working session and a written record of what was decided.
| Phase | What it settles | Output |
|---|---|---|
| Assess | Where AI changes the outcome first, and how success is measured | Opportunity scoring, readiness scores, success criteria and a measured baseline |
| Align | The solution design and its control set, built and demonstrated in short iterations | Configured boards, workflows, agents and apps |
| Adopt | Whether the team uses it daily and can run it without us | Training, champions, the playbook and go-live monitoring |
- Assess. A discovery workshop with the people who own the process, current-state mapping, and a baseline for each success criterion, confirmed in writing.
- Align. Design tied to the success criteria, with a demonstration before each step goes live.
- Adopt. Role-based training, an internal champion program and a written playbook, so knowledge stays inside the team.
Readiness
During Assess we score five readiness dimensions on a 1 to 5 scale. A perfect score is not the entry ticket. Each gap becomes a scoped priority, and the scores are taken again at handoff.
| Dimension | What a strong score looks like |
|---|---|
| Data | Operational data is clean, accessible and reachable through an API |
| Talent | A cross-functional group leads internal AI skill building |
| Governance | Documented policies for reviewing and managing AI systems |
| Culture | People are encouraged to find and propose AI use cases |
| Tooling | The team can prototype a workflow without waiting on IT |
Governance gets particular weight. An AI workflow that cannot explain who reviews its output, what data it touches and how it is switched off will not survive its first audit, so those answers are part of the build.
Measures
Success metrics are set with the team in Assess and tracked on a monday.com dashboard from the start. The targets below are examples of the shape, not results and not promises. Real targets come from the measured baseline.
| Category | What we track | Example target |
|---|---|---|
| Operational efficiency | Time saved, cost reduced, manual steps removed | Weekly reporting time down by four or more hours per person |
| Customer outcomes | Satisfaction, retention, resolution speed | Average ticket resolution time down by a third |
| Delivery speed | Cycle time and handoffs | Production cycle cut from weeks to days |
| Team experience | Admin load and confidence with the tools | Admin work held under a fifth of each person's week |
Engagement
This work is delivered through the engagement shapes in the Engagement Specification. There is no separate monday.com product.
- E-01 Decision Advisory. Settles which process to start with, which pattern applies and whether monday.com is the right home for it. It starts with a diagnostic and ends with the playbook handoff.
- D-01 Delivery Engagement. Where the client wants the workflows built, the build ends with working software and its playbook.
Scope, duration and the size of the build are set in a scoping conversation and confirmed in writing before work starts.
Read the Engagement Specification, or request a conversation.
